ParcelClaimer is operated as a sole trader business. This policy explains how we collect, use, and protect your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. Who we are
ParcelClaimer is a UK-based service that helps individuals claim compensation from courier companies for lost or misdelivered parcels. We are a sole trader business based in the United Kingdom.
Contact: enquiries@parcelclaimer.co.uk
2. What personal data we collect
When you submit a claim through our website, we collect:
- Your name, email address, and phone number
- Your home or contact address
- The name and address of the parcel addressee
- Details about your parcel and the courier involved
- Your tracking number and send date
- Supporting documents you upload (e.g. proof of purchase, proof of postage)
- A record of your GDPR consent, including the date and time it was given
- Your digital signature (typed full name), the date and time of signing, and your IP address at the time — captured when you sign the Letter of Authority
3. Letter of Authority
Before we can act on your behalf with a courier, we require you to sign a Letter of Authority (LoA). This is a legal document that:
- Identifies you as the claimant and specifies the parcel and courier in question
- Authorises ParcelClaimer to correspond with and make formal representations to the courier on your behalf
- Authorises the courier to disclose information about your parcel — including tracking records, account notes, and complaint history — to ParcelClaimer, which they would otherwise only provide to the account holder
- States that this authority is limited to the specific claim you are submitting and expires when the claim is resolved, if you withdraw it in writing, or after 24 months — whichever is sooner
The LoA is presented to you during the claim submission process. Your digital signature consists of your typed full name. We also record the date and time of signing and your IP address as evidence that the authority was given by you personally. This information is stored securely alongside your claim record.
You may withdraw your Letter of Authority at any time by contacting us at
enquiries@parcelclaimer.co.uk. If you withdraw before your claim is resolved, we will no longer be able to act on your behalf with the courier.
4. Why we collect your data and our legal basis
We collect and process your personal data for the following purposes:
- To process your compensation claim — this is necessary to perform the service you have requested. Legal basis: performance of a contract.
- To communicate with you about your claim — including sending confirmation emails and updates. Legal basis: legitimate interests.
- To contact couriers on your behalf — we may share relevant details with the courier to pursue your claim. Legal basis: performance of a contract.
- To comply with legal obligations — such as keeping records for tax and accounting purposes. Legal basis: legal obligation.
- To obtain and record your Letter of Authority — we collect your digital signature, signing timestamp, and IP address to create a verifiable record that you have authorised us to act on your behalf. Legal basis: performance of a contract and legitimate interests (maintaining an audit trail of consent).
5. Who we share your data with
We may share your personal data with the following third parties where necessary:
- Courier companies (e.g. Royal Mail, Evri, DPD) — to submit and pursue your claim on your behalf
- Supabase — our database provider, used to securely store claim data (servers located in the EU)
- Email service provider — used to send you confirmation and update emails
We do not sell your personal data to any third party.
6. How long we keep your data
We retain your personal data for as long as necessary to process and resolve your claim, and for up to 6 years thereafter for legal and accounting purposes. Once this period has passed, your data will be securely deleted.
7. Your rights
